How To: Attend Healthcare Quality Virtual Meetings

Healthcare Quality periodically hosts virtual meetings, including regulation development stakeholder meetings. Healthcare Quality utilizes Microsoft Teams to host virtual meetings. Attendees can join the virtual meetings through a meeting invite link. All meeting invite links will be sent via email from an official DHEC email address (i.e., domain name of dhec.sc.gov). Each meeting invite link is specific to each individual meeting and is no longer active once the meeting has transpired unless otherwise indicated.

Virtual Meeting Etiquette:

  • To ensure you will be able to fully participate in the virtual meeting, verify that your speakers and microphone are properly working prior to joining the virtual meeting. When joining the virtual meeting, ensure that your microphone is muted and your video is off to avoid disruptions and noise feedback.
  • If attendees are expressly permitted to turn on their cameras during the meeting, make sure your background is clear. It is recommended that you use the background blur feature in Teams. To blur your background, select MoreApply Background Effects→Blur→Apply and turn on video. When your camera is on and you are speaking, be sure to unmute your mic, and look directly into the camera when speaking. Once you are finished speaking, turn off your camera and mute your microphone.

  • If you have a question or comment during the meeting, please use the "raise hand" feature in Teams or type your question/comment in the chat. To raise your hand, select Reactions→Raise hand. The meeting facilitator will acknowledge your question/comment at the appropriate time. Once your question/comment has been addressed, please turn off the "raise hand" feature.

Download the app: Download the Teams desktop app 

  1. Click "Download Teams" (this will prompt a download and a set of instructions to follow in order to download the app).

Continue on this browser: Join a Teams meeting on the web (this will redirect you to a new page in the web browser you are currently using).

  1. Click "Continue on this browser".
  2. Type your name.
  3. Choose your audio and video settingsTo ensure you will be able to fully participate in the virtual meeting/hearing, verify that your computer has working speakers & a microphone. Please ensure that your microphone is muted and your video is off to avoid meeting disruptions & feedback.
  4. Select Join now. Depending on meeting settings, you will immediately join the meeting, or you will be placed in a lobby and a meeting administrator will grant you access to join the meeting.

Open your Teams app: If you already have the Teams app, go right to your meeting (this will redirect you to the Teams app).

  1. Click "Open Teams".
  2. Choose your audio and video settings. To ensure you will be able to fully participate in the virtual meeting/hearing, verify that your computer has working speakers & a microphone. Please ensure that your microphone is muted and your video is off to avoid meeting disruptions & feedback.
  3. Select Join now. Depending on meeting settings, you will immediately join the meeting, or you will be placed in a lobby and a meeting administrator will grant you access to join the meeting.

Joining via Mobile Phone, iPad, or Tablet

  1. Download and install the Teams app for Android or iOS (free).
  2. Click the meeting invite link you received.
  3. Choose your audio and video settings. To ensure you will be able to fully participate in the virtual meeting/hearing, verify that your computer has working speakers & a microphone. Please ensure that your microphone is muted and your video is off to avoid meeting disruptions & feedback.
  4. Select Join now. Depending on meeting settings, you will immediately join the meeting, or you will be placed in a lobby and a meeting administrator will grant you access to join the meeting.

Dialing into the Meeting

If you are unable to use the Teams app or Teams on the web to join the meeting, you can join via phone. 

A phone number and conference ID specific to the meeting will be included in the meeting invite.

  1. To join the meeting, dial the number (pictured below). 
  2. The number in your invitation may not be local to you.
  3. Select Find a local number to get a local number and use the local number to join the meeting. Depending on meeting settings, you will immediately join the meeting, or you will be placed in a lobby and a meeting administrator will grant you access to join the meeting. Please ensure that your microphone is muted and your video is off to avoid meeting disruptions & feedback.
